1. Agreement to Terms
By accessing our website (www.somaandoikos.com) and purchasing our services, you agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree with these terms, please do not use our services.
2. Description of Services
Sōma & Oikos ("we," "us") provides holistic home wellness consulting and curation services. Our services include, but are not limited to:
Signature Room Packages: Creation of bespoke digital guides ("Sanctuary Blueprints") for specific functional areas of the home. This category includes our core offerings—The Nourished Kitchen, The Renewal Bathroom, The Restful Bedroom, and The Serene Nursery—and provides recommendations for non-toxic products, materials, and lifestyle practices specific to that room type.
The Sanctuary Suite: A bundled service offering comprehensive curation for three or more (3+) distinct rooms (selected from our Signature Room Packages). This service harmonizes multiple spaces into a cohesive, non-toxic rhythm throughout the home and includes priority scheduling and a preferred pricing structure.
The Follow-Up Series: A supplementary package of private support sessions designed to provide accountability and integration support after the initial project.
Sanctuary Support: An annual retainer service for returning clients, providing seasonal guidance and ongoing curation updates.
Custom Proposals: Bespoke consulting for specific spaces, whole-home projects, or unique needs not covered by standard packages.
The Turnkey Experience: A comprehensive, white-glove service for clients in the Greater Toronto Area that includes in-person coordination.
Disclaimer (Curation vs. Design): The information and guidance we provide are for educational, aesthetic, and wellness purposes only. We are Curators and Consultants, not medical professionals, licensed architects, structural engineers, or general contractors. Our "Curation" services focus on the selection of non-toxic materials, furniture, and finishes. While we may offer guidance on layout for flow and wellness, we do not provide technical construction drawings or architectural blueprints. You agree that any structural changes (e.g., moving walls, plumbing, electrical) must be executed by licensed professionals of your choosing.
3. Scope of Communication
The "30 days of email support" included in our packages is intended for quick, clarifying questions regarding your Sanctuary Blueprint. We will endeavor to respond to all emails within 1-2 business days. More in-depth discussions or new strategic questions will be reserved for our scheduled follow-up sessions.
4. Client Responsibilities
As a client, you agree to:
Provide accurate and complete information in all intake forms and communications.
Understand that you are solely responsible for the implementation of the recommendations provided in your Sanctuary Blueprint.
Make all final purchasing decisions for products and materials. Sōma & Oikos is not responsible for the performance, quality, or warranty of any third-party products purchased.
5. Fees, Payment, and Refunds
Fees:
Signature Room Packages & The Sanctuary Suite: All fees for our Signature Room packages and bundled suites are listed in Canadian Dollars (CAD) and are due in full prior to the scheduling of your 45-minute Sanctuary Vision Session.
The Follow-Up Series: Fees for this add-on package are due in full at the time of purchase or prior to the scheduling of the first session in the series.
Sanctuary Support: This is an annual retainer service. The full annual fee is due prior to the commencement of the 12-month term. For renewing clients, the renewal fee will be invoiced thirty (30) days prior to the start of the subsequent term.
Custom Projects: Fees for Custom Proposals or The Turnkey Experience will be outlined in a specific Project Proposal. Unless otherwise stated in the Proposal, a deposit is required to secure your booking, with the balance due according to the schedule outlined in your specific agreement.
Product Costs: The package fee covers our consulting and curation services only. The cost of any recommended products, materials, furniture, or third-party services is separate and is the sole responsibility of the client.
Refunds: We are committed to providing a high-value, bespoke service tailored specifically to you. Our process involves significant personalized work that begins immediately after your commitment.
Signature Room Packages (Single): Should you choose to withdraw from the service after completing the Sanctuary Vision Session but before your bespoke Sanctuary Blueprint™ has been delivered and presented, we offer a partial refund of 50% of the total package fee, reflecting the strategic work already undertaken. Once your Sanctuary Blueprint has been delivered and presented, the service is considered fully rendered, and no refunds will be issued.
The Sanctuary Suite (Multi-Room):
Pre-Delivery: If you withdraw after the Sanctuary Vision Session but before any Blueprints have been presented, a 50% refund of the total suite fee applies.
Partial Completion: If you withdraw after one or more (but not all) room Blueprints have been presented, the refund will be calculated by voiding the suite discount. The completed rooms will be charged at the full standard individual package rate, and this amount will be deducted from your initial payment. The remaining balance (if any) will be refunded.
Full Delivery: Once all Blueprints in the suite have been presented, no refunds will be issued.
Follow-Up & Sanctuary Support: Fees for The Follow-Up Series and Sanctuary Support are non-refundable once the term has commenced or the first session has been scheduled.
Custom Projects: Refund policies for Custom Projects and The Turnkey Experience will be governed by the terms outlined in your specific Project Proposal.
6. Scheduling and Rescheduling
All sessions are scheduled in advance through our online booking system. We understand that scheduling conflicts can arise. Clients are requested to provide a minimum of 48 hours' notice to reschedule a session. Sessions cancelled or rescheduled with less than 48 hours' notice, or missed without prior notice, may be forfeited at our discretion.
7. Confidentiality
We are committed to maintaining the confidentiality of our clients. All personal information, conversations, and details about your home and family shared with us during our engagement will be kept strictly confidential and will not be disclosed without your express written consent.
8. Intellectual Property
All content on this website and included in your Sanctuary Blueprint and other service deliverables, including text, graphics, logos, and methodologies, is the exclusive property of Sōma & Oikos. Upon purchase, you are granted a limited, non-transferable license to use your Sanctuary Blueprint for your own personal, non-commercial use in a single residence. You may not reproduce, resell, or distribute this document in any form without our express written permission.
9. Limitation of Liability
You agree that Sōma & Oikos shall not be liable for any direct, indirect, incidental, or consequential damages resulting from the use of our services or the implementation of our recommendations. While we provide expert, research-based guidance, you are responsible for the final decisions and actions you take in your home. Our liability is limited to the total fee paid for the service in question.
Results Disclaimer: Sōma & Oikos provides an expert, educational guide to help you create a healthier home. We cannot and do not guarantee any specific health outcomes or results, as these depend on a wide variety of factors including, but not limited to, your full implementation of the plan and your family's unique health circumstances.
10. Term and Termination
Standard Packages: Our service engagement for single-room packages begins upon receipt of payment and concludes at the end of the 30-day email support window, or upon completion of the final 'Confidence Call,' whichever occurs later. The final 'Confidence Call' must be scheduled within 60 days of the Blueprint Presentation date, after which time it will be considered forfeited.
Sanctuary Suite & Custom Projects: Due to the larger scope, the timeline for these services will be defined in your specific Proposal or onboarding materials. Unless otherwise agreed, all "Confidence Calls" or follow-up support for multi-room projects must be utilized within 6 months of the project start date.
We reserve the right to refuse or terminate service to anyone at our discretion.
11. Terms for Premium Services
The following terms apply to specific premium packages and add-on services.
The Follow-Up Series: This package includes three (3) private support sessions. Sessions must be scheduled by the client within six (6) months of the purchase date. If you achieve your goals and do not require all three sessions, any unused session(s) will be credited to your account and may be used within one (1) year of the original purchase date for a future follow-up or consultation. Unused sessions are not eligible for a refund.
Sanctuary Support: This is an annual retainer service for returning clients. The service term is for 12 months from the date of purchase. This service will automatically renew for a subsequent 12-month term unless notice of cancellation is provided in writing at least 30 days prior to the renewal date.
The Sanctuary Suite: This bundle includes Priority Scheduling. "Priority" means your project will be given precedence in our booking calendar over standard single-room inquiries during the initial scheduling phase. However, availability is still subject to our current capacity. Once your project timeline is established, any significant delays caused by the client (e.g., failure to provide measurements or feedback) may result in the loss of priority status for subsequent steps.
Preferred Pricing Validity: The Sanctuary Suite offers a preferred rate based on the committed volume of work (3+ rooms). If the scope of the project is reduced to fewer than three (3) rooms at the client's request, the pricing for the remaining completed or active rooms will revert to the standard individual Signature Room Package rates, and the difference will be invoiced immediately.
The Turnkey Experience: This in-person service has the following specific conditions:
Scope of Service: Our role in "The Turnkey Experience" is that of a project coordinator and principal curator for the procurement and organization of non-toxic goods and materials. This service explicitly excludes any structural, electrical, plumbing, or trade-specific work.
Budget & Purchasing: The client agrees to be responsible for the full cost of all products and materials selected for purchase. A budget for goods will be agreed upon prior to procurement. To facilitate purchasing, the client may be required to provide a credit card on file specifically for these purchases, or provide a dedicated procurement deposit. Sōma & Oikos will provide copies of all original receipts for items purchased on the client's behalf.
Home Access: The client agrees to provide reasonable and safe access to their home for Sōma & Oikos and its representatives for the purpose of executing the service during pre-agreed upon times.
Third-Party Vendors: We may assist in coordinating with third-party vendors (e.g., painters, installers). However, the client's contract for such work is directly with the vendor. Sōma & Oikos is not responsible or liable for the work, performance, or actions of any third-party vendor.
Limitation of Liability for In-Person Services: While we will take the utmost care when working in your home, Sōma & Oikos is not liable for any pre-existing damages, or for any accidental damages to property that are not the direct result of gross negligence by our team.
12. Governing Law
These Terms of Service and any dispute arising out of or related to them shall be governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein.
13. Changes to Terms
We may update these Terms of Service from time to time. The updated version will be indicated by a "Last Updated" date. Your continued use of our website and services after any changes constitutes your acceptance of the new terms.
